The classic invoicing experience in QuickBooks Online is being phased out, with users moved to a redesigned invoice layout featuring new functionality. Users will not be able to switch back to the classic version, with all invoices created using the new format.

QuickBooks has confirmed the transition will take place in stages and is expected to be completed by the end of April 2026.

Who will be affected?

The removal of the classic invoicing experience will affect all QuickBooks Online users on the following plans:

  • Simple Start
  • Essentials
  • Plus
  • Advanced

The classic invoicing system will also be withdrawn from QuickBooks Online Accountant, following a similar rollout. This will begin in February 2026 and is expected to be fully phased out by the end of April 2026.

For now, users who issue invoices via PayPal or GoCardless will continue to use the classic invoicing experience. QuickBooks has said a further update will be provided in summer 2026 to confirm when these users will transition to the new format.

What has changed?

The new invoicing experience was introduced in late 2024 as part of QuickBooks’ plans to phase out the classic invoicing system. It is designed to give users greater flexibility, improved visibility, and more automation when creating and managing quotes and invoices.

Key features of the new experience include:

  • Greater personalisation, allowing users to customise invoices and create bespoke templates;
  • On-the-spot customisation of quotes and invoices, with no need to manage separate templates; QuickBooks remembers previous choices and applies them to future documents;
  • Real-time alerts when customers accept a quote or pay an invoice, with customers able to review and approve estimates directly from the email sent to them;
  • All invoices in one place – making it easier to track progress, send reminders and record payments;
  • Centralised estimate management, enabling users to view statuses at a glance, revise estimates, respond to customers, or convert approved estimates into invoices;
  • Autosave – ensuring quotes and invoices are saved automatically when created via the app; and
  • Automated email reminders to prompt customers to pay outstanding invoices.

Features currently unavailable

The following classic invoice features are not available in the new system:

  • Adding a new invoice Term;
  • Billable Mileage Tracking;
  • Statements (Show ageing table at the bottom of a statement);
  • Enabling Payments; and
  • Construction Industry Scheme (CIS).

The new invoicing system includes significant layout changes, and users may wish to take time to familiarise themselves with the revised interface and tools. The system allows invoices and estimates to be adjusted directly as they are created, with formatting and content options available on each form rather than through separate templates. Any selections made are saved and applied to future invoices or estimates.

No action is required – all users will be automatically transitioned to the new invoicing experience.
